Exhibitor Terms & Conditions
Thank you for your interest in exhibiting at the Wynyard Wellness Expo. Our goal is to create an engaging, educational and inspiring event that connects the community with local businesses, health professionals and wellness practitioners.
By submitting an application and confirming your booking, exhibitors agree to the following Terms & Conditions.
Event Details
Event: Wynyard Wellness Expo
Date: Sunday 25 October
Time: 10:00 am – 3:00 pm
Venue: Wynyard Yacht Club Room, Wynyard, Tasmania
Site Allocation
Exhibitors will be allocated an indoor site within the Wynyard Yacht Club Room.
While every effort will be made to accommodate individual preferences, site allocations are determined by the organisers to achieve the best overall event layout and visitor experience.
Exhibitor Fees
Standard Site – $50
Includes:

One 1.8 m × 2 m exhibitor space
-
One 1.8 m table
-
One chair
Additional Exhibitor Space
Additional exhibitor spaces may be available, subject to venue capacity and at the discretion of the organisers.
Each additional 1.8 m × 2 m space is charged at the standard exhibitor fee of $50 and includes one additional 1.8 m table. Additional chairs can be provided on request.
If you require more than one space, please indicate this on your application form. We will confirm availability.
Your booking is confirmed once payment has been received.
Applications
Submitting an application does not automatically guarantee a place at the expo.
Applications are reviewed to ensure exhibitors align with the vision of the Wynyard Wellness Expo and to provide a balanced range of businesses for attendees.
Successful applicants will receive confirmation together with payment instructions.
Event Vision
The Wynyard Wellness Expo is dedicated to promoting health, wellbeing and preventative care within our community.
We welcome businesses, practitioners and organisations whose products or services support healthy living and align with the values of the event.
The organisers reserve the right to decline applications that do not align with the purpose or integrity of the expo.
Setup & Pack Down
Exhibitor access to the venue begins at 8:30 am.
All exhibits must be fully set up before the event opens to the public.
Exhibitors agree to:

Be ready to welcome visitors before opening time.

Remain open for the full duration of the event.

Begin pack down only after the event has concluded.

Vacate the venue by 5:00 pm unless otherwise advised by the organisers.
Exhibitor Responsibilities
Exhibitors are responsible for providing any additional equipment required for their display, including:

Table coverings
-
Signage and banners
-
Promotional material
-
Display equipment
-
Extension leads (if required)
Exhibitors are responsible for ensuring their display is safe, secure and suitable for a public venue.
Power Requirements
Power is available in limited locations.
If power is required, exhibitors must notify the organisers prior to the event.
Exhibitors are responsible for supplying suitable extension leads and ensuring all electrical equipment is safe and compliant.
Payment Facilities
All exhibitors are expected to provide their own EFTPOS or mobile card payment facilities where applicable.
Many visitors may not carry cash, and providing electronic payment options helps create a better experience for both exhibitors and attendees.
Insurance & Compliance
Where applicable, exhibitors must hold current Public Liability Insurance.
The organisers may request evidence of insurance or any licences, permits or certifications required for the products or services being provided.
Any exhibitor supplying food or beverage samples is responsible for complying with all relevant food safety legislation and any council requirements.
Cleanliness
Exhibitors are responsible for:

Keeping their site clean and tidy throughout the event.

Removing all rubbish generated by their display.

Leaving their allocated area clean upon departure.
Promotion
The Wynyard Wellness Expo will be promoted through local media, social media, community networks and the Waratah-Wynyard Council Spring Loaded program.
By participating, exhibitors agree that the organisers may use their:

Business name
-
Logo
-
Photographs
-
Products or services
-
Event participation
for the purpose of promoting the Wynyard Wellness Expo before, during and after the event.
Photography & Media
Photographs and video may be taken throughout the event.
By participating as an exhibitor, you consent to photographs and video featuring your stall, staff and displays being used for future promotional and marketing purposes relating to the Wynyard Wellness Expo.
Cancellation
Exhibitor fees are non-refundable if an exhibitor chooses to withdraw after payment.
Should the organisers cancel the event due to unforeseen circumstances, including severe weather or venue issues, exhibitors will be contacted regarding available options.
Professional Conduct
Exhibitors agree to conduct themselves professionally and respectfully throughout the event.
The organisers reserve the right to request the removal of any display, product or exhibitor whose behaviour, activities or presentation are considered unsafe, inappropriate or inconsistent with the values and objectives of the Wynyard Wellness Expo.
Acceptance
By submitting an exhibitor application and completing payment, you acknowledge that you have read, understood and agree to these Terms & Conditions.

Food & Drink Vendor Information & Agreement
The food and drink area is designed to complement the event by providing attendees with nourishing, quality food and beverage options that align with our focus on health, wellbeing and community connection.
By submitting an application and confirming your booking, food and drink vendors agree to the following additional requirements.

Setup & Pack Down
Vendors may access the site from 8:30 am on the day for setup.
All food and beverage vendors must be fully set up and ready before the event opens at 10:00 am.
Vendors are expected to remain open and available throughout the expo until 3:00 pm.
All vendors must have packed down, removed all equipment and rubbish, and vacated the site by 4:30 pm.
Please note: the venue has an evening event scheduled, so all vendor areas must be cleared and left clean and tidy by this time.
If you anticipate these timeframes may not be suitable for your business or circumstances, please contact the organisers prior to confirming your booking so we can discuss options.
Vendor Location
Food and drink vendors will be located in the grassed outdoor area beside the river, adjacent to the Wynyard Yacht Club Room.
Vendors are responsible for ensuring their setup is appropriate for an outdoor environment, including consideration of weather conditions, ground conditions and customer access.
Vendor Fee & Booking
A $50 non-refundable vendor fee is required to secure your food and drink vendor site.
Your booking is confirmed once payment has been received.
Applications close Friday 7th August at 5:00 pm. Payment must be received by this date to secure your site.
Vendor Setup Requirements
Food and drink vendors are responsible for providing all equipment required for their site, including:

Marquee or suitable mobile food vehicle

Weather protection
-
Tables and serving equipment
-
Food preparation and display equipment
-
Waste management supplies
-
Power supply where required
Vendors must ensure their setup is safe, stable and suitable for a public event environment.
Food Safety & Compliance
Vendors are responsible for ensuring they meet all relevant food safety requirements and hold any required:

Food business registrations
-
Permits or approvals
-
Certificates or licences
-
Public Liability Insurance
Vendors must comply with all applicable food handling, preparation, storage and serving requirements.
The organisers may request evidence of relevant documentation where required.
Power Requirements
Power access is not available for outdoor food and beverage vendor sites.
Outdoor vendors must provide their own suitable power supply, such as a generator, if required for their operations.
Any generator used must be safe, suitable for a public event environment, and positioned in a way that minimises noise and disruption to attendees and neighbouring vendors.
Limited access to venue power may only be available for approved indoor food and beverage vendors operating from the kitchen area. This must be discussed and approved with organisers prior to the event.
Vendors must advise organisers of their power requirements as part of the application process.
Vendor Presentation & Cleanliness
Vendors are encouraged to create an inviting and professional presentation that reflects the values of the Wynyard Wellness Expo.
Vendors are responsible for:

Maintaining a clean and tidy service area throughout the event.

Managing all rubbish associated with their stall.

Removing all equipment, waste and belongings at the conclusion of the event.
Food & Drink Vendor Suitability
The Wynyard Wellness Expo aims to promote health, wellbeing and preventative care within our community.
We welcome food and drink vendors who share our commitment to quality ingredients, nourishing choices and supporting healthier lifestyles.
The organisers reserve the right to approve vendor applications to ensure a balanced and positive experience for expo attendees.
Outdoor Event Considerations
The Wynyard Wellness Expo is a rain-or-shine event.
Vendors are responsible for ensuring they are prepared for changing weather conditions and that their equipment and displays remain safe throughout the event.
